Medical Administrator – Patient-Focused Care, Personalised Primary Care Clinic (Midtown Toronto)

As our organization continues to grow, we’re searching for an experienced Medical Administrator to act as the ambassador to our patients and bring a genuine, welcoming presence to our facility and our team.

Imagine being the welcoming and reassuring face patients rely on during their healthcare journey while you handle the following responsibilities.

What You'll Do:
  • Provide courteous and professional reception services to all patients and visitors.

  • Schedule, confirm, and manage patient appointments, including annual physicals [CPX].

  • Answer and direct phone calls with empathy and efficiency; acquire contact information for prospective patients.

  • Arrange and expedite referrals to outside providers, including out-of-country, while managing expectations for Ontario medical services.

  • Liaise with physicians to support timely referrals; assist with charts for insurance requests and record transfers.

  • Mail important materials to patients; prepare and process invoices and receipts.

  • Accurately document patient information in administrative databases while maintaining strict confidentiality at all times.

  • Work collaboratively with clinical and administrative staff, demonstrating a strong commitment to patient-centred service.

  • Handle multiple tasks with accuracy, attention to detail, and effective prioritization; calmly diffuse challenging situations with patients or colleagues.

  • Uphold the Centre’s code of conduct and safety regulations, treating all with courtesy and respect.

  • Accept responsibility for your work, seek help when needed, and ensure proper use of office resources.

  • Use organizational skills and medical terminology knowledge to maintain a smooth workflow.

What You'll Bring:
 
  • 3–5 years’ experience in a medical office and or administrative role + relevant formal training
  • Intermediate level of proficiency in MS Excel and Word 
  • Professional appearance and demeanor
  • Excellent verbal and written communication skills
  • Ability to multitask, prioritize, and stay organised in a busy environment
  • Demonstrated experience with multi-line phone systems
  • Knowledge of medical terminology and EMR applications preferred
  • Demonstrated commitment to outstanding patient service
  • CPR certification preferred
  • Additional duties as assigned
